How do I set up Custom Outlook Forms in Exchange 2003?


Setting up Outlook forms can be interesting to say the least but here is a step by step guide that I hope will get you on the way.

 

 Steps to take---
 1. Create the Organisational forms library.
 

 2. Set permissions on the Organisational Library.

 3. Use Outlook to Create and Publish a form to the Organisational Library.

 4. Use the new Form in Outlook.

1. Create the Organisational forms library. 
This will be a central area where we can store our forms. Follow the steps provided in the Microsoft knowledge base article number

To create an Organizational Forms Library in Exchange Server 2003, follow these steps:
   1. Click Start, point to All Programs, click Microsoft Exchange, and then click System Manager.
   2. Expand Folders, and then click Public Folders.
   3. On the System Manager toolbar, click the Action menu, and then click View System Folders.

   4. In the left pane, right-click EForms Registry, point to New, and then click organization form.

   5. In the Name box, type the name of the folder.
   6. Under E-forms language, click to select the appropriate language.

To create copies of the Organizational Forms Library on other servers, click the Replication tab, and then type the name of server that you want to contain the copy of the Organizational Forms Library.

Note An Organizational Forms Library is a special type of public folder that is listed only with system folders. You can have only one Organizational Forms Library for each language per organization.

To set storage limits for an Organizational Forms Library, click the Limits tab. To create a description of an Organizational Forms Library, click the Details tab. To set permissions for each user, click the Permissions tab.
 

 

2. Set permissions on the Organisational Library.
This will allow the users to Publish their customised Forms in Outlook.


To add permissions to the organisational library:

  1. Right Click English Forms and choose properties.
  2. Choose the permissions tab.
  3. Choose Client Permissions.

  4. Give the user that you need to publish the forms at least Publish permission.
 

 

3. Use Outlook to Create and Publish a form to the Organisational Library.
So how do users Create their customised Forms in Outlook?


To Create a Form:
  1. Choose the Tools Menu.
  2. Choose Forms.
  3. Choose Design a form.

Use the design interface to design the form.

 

So how do users Publish their customised Forms in Outlook?


To Publish a Form:
  1. Choose the Tools Menu.
  2. Choose Forms.
  3. Choose Publish Form As.

  4. Choose the Organisational Forms Library under Look In.

  5. Choose Publish
 

 

4. Use the new Form in Outlook.
So how do users Use their customised Forms in Outlook?


To Use a Form:
  1. Choose the File Menu.
  2. Choose New.
  3. Choose Choose Form.

  4. Choose the Organisational Forms Library under Look In.
  5. Choose the Form and click Open.
